Overview |

Epiphany Groupware is an online
service that stores and presents contact, project,
notes, files and other information. Users of the
service can be inside or outside your organization.
User accounts can be reassigned at anytime
and increased or decreased on a monthly basis.

Step 1: First, enter contact information that is related to the project. You can import data from PIMs such as Outlook
or Outlook Express if the program can export the information as
a comma seperated file. Click on the contacts folder,
and either create it manually, or select import
and follow the onscreen information. Most of the
contacts should be "Open To All". This implies
every member of the same default group is able
to see and work with this contact. The main contact
of a project should always be "Open To All". Otherwise
the project members won't be able to see his/her
information.

Step 2: After the contact list
has been setup, the next step is to create the project.
Selecting the the projects module allows you to create
a new project if you have administrative priviliges.
Clicking "New" allows you to create a new project.
On the left hand side are detailed project information,
like start and end date (outside this period,
you can't book any time on the project), the category
(a kind of status), if it is a subproject of another
project, the leader of the project, fee rate and
the calculated budget. The right side allows you
to select the persons working on the project,
as well as describing the project in more detail.

STEP 3: You have created the
contacts and assigned the people to the project. Now
you can start to enter time against the project.
This is done by using the timecard module. Depending
on the setup, you are able to enter time directly
onto a project, even if the person has not logged
in as working on that specific day. Select the
date for which you would like to create a booking
onto a project under Assigning Projects and click
on the icon symbolizing the enter key. A list of
projects available for that specific date will
show, together with any information you might
have entered for this day. If you have logged
in for work on that day, it will also show you
the amount of unassigned time. This will of course
be debited by any information you enter for the
projects. The right hand side of the form shows
all the logged in work time for the current month,
or the month you've selected.

Step 4: Now, the project leader
can generate a list of hours worked on the specific
project by going into the projects view, and selecting
statistics. After selecting the project, the persons,
and the time frame, clicking on the enter-key
icon shows a list of projects and persons and
the total hours those persons have worked on each
of the projects. Clicking the small blue icon at
the beginning of the line shows the details of
this person, the hours and comments s/he entered
into the time card.

Step 5: In order to view a simplified
Gantt chart of the project you
are involved in, click the "Time- line" hyperlink
in the Project page, which you access by clicking
the Project tab in the menu bar. In the top most
line, you can indicate the period of the timeline
expressed in months. You can also select whether
or not you want to see the subprojects. Confirm
your choice by clicking the return button.
